Forefront is looking for a client-facing Service Delivery Director to join our growing team. This role is a senior-level producer who will be responsible for ensuring the efficient and effective delivery of exceptional event and experiential services to our clients as well as internal business lines. This role will play a crucial part in managing the service team, setting and achieving service goals, meeting and exceeding planned budgets, and continuously improving processes to enhance client satisfaction. This position must demonstrate strategic thinking, fiscal responsibility, excellent management skills and a passion for delivering outstanding customer experiences.
General Responsibilities include:
Leadership and Team Management
- Lead, coach, and develop a high-performing service team (cross functional and contract network) to deliver exceptional service.

- Work with the internal team and suppliers to bring client concepts to life.
- Collaborate with sales and account management teams to ensure seamless coordination and communication regarding customer needs, expectations, and feedback.
- Proactively address client concerns or escalations, providing timely and effective solutions.
- Collaborate with major internal and external partners, including creative partners, to guarantee production guidelines are followed for key deliverables.
- Coordinate and negotiate with vendors for all events which includes sourcing and managing production companies, agencies and vendors to ensure they are meeting the specific guidelines we outline for the event (strategy, creative, budget, etc.
Service Performance and Metrics
- Establish and monitor key performance indicators (KPIs) to evaluate service performance and identify areas for improvement.
- Analyze service data and generate reports to track progress, identify trends, and make data-driven decisions.
- Develop and implement initiatives to improve service efficiency, reduce costs, and enhance client satisfaction.
Continuous Process Improvement
- Continuously evaluate and refine service processes to optimize efficiency and effectiveness.
- Identify automation opportunities and implement appropriate technology solutions to streamline service operations.
- Collaborate with cross-functional teams to ensure seamless integration of service processes with other departments.
- Identify process inefficiencies and bottlenecks within the service department and work to create & implement solutions.
Project Planning – Scope, Schedule, and Budget
- Work across a range of projects and accounts, acting as the lead for several hybrid, digital, and live events from initial concept through completion.
- Identify project scopes, define milestones, and simplify complex processes that support the project management and work-flow systems to deliver on deadlines.
- Estimate project budgets, considering resource requirements, hard costs, and potential risks and contingencies.
- Own delivery project plans by drafting timeline, budget, scope of work, staff plan, on-site experience and flow of each event, etc., and collaborate with internal partners to define processes necessary to accomplish milestones.
Resource Planning and Management
- Assess resource requirements for projects, considering skills, availability, and capacity.
- Allocate resources effectively, ensuring optimal utilization and balance across projects.
- Coordinate with service managers to ensure availability of required resources.
- Monitor resource workload and adjust to prevent overallocation or bottlenecks.
- Evaluate the Time reports to find future efficiency opportunities (and cost reduction)
Project Management
- Oversee project execution, ensuring adherence to timelines, milestones, and deliverables.
- Facilitate effective communication and collaboration among project teams, stakeholders, and clients.
- Mitigate risks and resolve project-related issues to ensure successful project completion.
- Provide regular project status updates and reports to stakeholders.
Budget Management
- Develop and manage project budgets, tracking expenses, and ensuring cost control.
- Monitor budget variances, analyze financial data, and take corrective actions as required.
- Collaborate with finance and accounting teams to ensure accurate financial reporting in real time and keep the general manager and finance team updated on any material potential changes to the expense plan.
- Provide recommendations for cost-saving measures without compromising project quality.
Strategic Procurement
- Identify procurement needs for projects, considering cost, quality, and project requirements.
- Develop procurement strategies and vendor selection criteria.
- Negotiate contracts and agreements with suppliers to obtain favorable terms and pricing.
- Monitor supplier performance and manage vendor relationships.
Looking for candidates who have:
- 7+ years of live event management experience
- Agency background a plus but not required
- Managed program budgets of $1MM+
- Managed production teams both in person and remotely
- Strong negotiation skills when looking for the best price for rentals, suppliers and contractors

+ Hospitality Contract Producer, Austin Trail of Lights
Forefront Networks is a full-service experiential and entertainment agency specializing in corporate partnerships, brand activation, production, corporate events, entertainment booking, event management, and more. Forefront is seeking a highly motivated and experienced Event Contract Producer to support the planning and execution of the Austin Trail of Lights' (TOL) Hospitality program.
Responsibilities include:
Project Planning & Management – Scope, Schedule and Budget
Project, plan, manage and “own” all aspects of a select number of Trail of Lights (TOL) Hospitality Parties assigned – approximately 16 events.
- Serve as the main point of contact (outside the sales director) for hospitality clients, acting as a trusted advisor to ensure events/activations meet objectives.
- Coordinate all elements of the parties including but not limited to booking the caterer, entertainment, and bar. NOTE: TOL has a list of preferred and experienced vendors we work with for each party.
- Provide timely communication and responses to party hosts as needed.
- Ensure all parties have the necessary credentials to enter the park.
- Update invitation templates on CANVA and send them to the party hosts.
- Ensure the flawless execution of the event onsite including loading vendors in and out and troubleshooting during the event.
- Keep track of all expenses and work with the Hospitality Manager to reconcile party budgets.
- Reconcile bar tabs with the bar team at the end of each night.
- Ensure the party tent and décor is set up each night.
- Ensure the party tent is clean and clear at the end of each night.
- Create layouts in All Seated and provide the site crew instructions for flipping the rooms each night.
- Ensure each party tent is stocked with enough cookies, cocoa and supplies each night.
- Encourage party hosts to upgrade their parties by adding on entertainment or gifting elements.
Support other corporate hospitality or premium programs as needed. Programs include:
- One full park buy out event: TOL offers large companies and groups an opportunity to buy out and personalize the Trail of Lights footprint to host up to 5k guests.
- Platinum Program: this is a premium ticketed program that allows guests early access, valet parking, concierge customer service on-site, golf cart shuttle access to the Trailhead and access to a private Premium Platinum Lounge with comfortable seating, exclusive bar, a drink ticket, a ride ticket, and expedited entry to the Ferris wheel and carousel ride.
- ZIP Program: this is a premium ticketed program that allows guests early entry and access to the ZIP lounge featuring seating, heated washrooms, a bar and complimentary cookies and cocoa.
- STARS Program: this program ensures that people in our community, who many not otherwise have the opportunity, are given a magical holiday experience trailered exclusively for them. The Trail welcomes local non-profit groups to the Trail for three private nights. Guests have access to our private party tents and complimentary cookies and cocoa.

Account Coordinator

Local Market Sales Manager

Reporting to the Vice President of Corporate Partnerships, the Local Market Sales Manager will plan, manage and execute various event centric and transactional local selling initiatives. Sales
- Create and manage a pipeline of prospects for each program in order to grow the program client base and ensure sales target attainment

Job Brief
We are looking for an Account Director to undertake account management responsibilities. Duties will involve both managing relationships with clients and guiding internal account support personnel. + Ancillary Revenue Manager
Forefront is seeking a highly motivated and experienced ancillary revenue manager to oversee the planning and execution of all ancillary programs at the Austin Trail of Lights (TOL).
The ancillary revenue manager will be responsible for leading and growing revenue generating initiatives outside the core consumer and corporate hospitality programs.
Revenue generating initiatives include but are not limited to:
- H-E-B Café – a storefront located at the entrance to TOL selling pre-packaged products sourced from H-E-B.
- Trail Shops – storefronts located throughout TOL selling official festival merchandise including hats, sweaters, ornaments, and more.
- My Holiday Traditions – an online store selling official festival merchandise including hats, sweaters, ornaments and more.
- Corporate Gifting – an online catalog featuring merchandise offered to corporate party planners for their guests.
- S’mores & Cocoa Programs – stations located throughout the festival selling cocoa and s’mores.
- On-site photo and other experiences – on-site revenue generating photo opportunities and other experiences yet to be developed.
Responsibilities Include:
Program and Product Development
- Develop a long-term vision and strategy for all on-site and on-line ancillary programs and products for the Austin Trail of Lights (TOL)
- Work closely with the team to curate the annual TOL merchandise collections sold online and on-site.
- Partner with the creative and marketing team to create a user-friendly online store that is inviting and easy to navigate.
- Oversee design of all online and on-site storefronts with special consideration to placement, size, flow, décor, visual merchandising, signage, layout, etc.
Budget Management
- Estimate the expected revenue from ancillary sales based on historical data, projected attendance, and average spending per attendee.
- Determine the cost of acquiring or producing ancillary items, including manufacturing costs, wholesale prices, shipping fees and any licensing or royalty fees.
- Calculate the COGS for each item or category of merchandise.
- Identify and estimate all expenses related to merchandise operations, such as staffing costs, booth rentals, storage fees, packaging materials, marketing expenses and any additional costs specific to the festival.
- Regularly compare and analyze the actual financial performance against the budgeted figures to identify any variances.
- Implement cost control measures to optimize profitability, such as negotiating better vendor terms, streamlining operations, minimizing waste, and identifying opportunities for cost savings.
Merchandise and Operations
- Plan, organize, and execute all ancillary operations at TOL listed above.
- Coordinate with vendors to ensure timely delivery of merchandise and products, maintaining inventory levels.
- Set up and manage merchandise, cocoa, and s’mores storefronts, ensuring they are visually appealing, optimally placed at the park, and well stocked.
- Oversee cash handling procedures, including managing cashiers, and reconciling sales at the end of each day.
Team Management
- Recruit, train, and supervise ancillary staff, ensuring they are knowledgeable about products and customer service.
- Schedule and assign tasks to team members, ensuring adequate coverage at all merchandise locations.
- Provide ongoing guidance and support to the ancillary team, fostering a positive and productive work environment.
Sales and Revenue
- Develop sales strategies to maximize revenue and achieve sales targets.
- Monitor sales performance and adjust strategies as needed to optimize results.
- Implement promotional activities, such as discounts or bundle offers, to drive sales and increase customer engagement.
Customer Service
- Ensure exceptional customer service is provided to all attendees.
- Address customer inquiries, concerns, and complaints in a professional and timely manger
- Train ancillary staff on effective customer service techniques and problem-solving skills.
Inventory Management
- Track inventory levels, conduct regular stock checks and re-order merchandise as needed.
- Maintain accurate records of ancillary sales, returns and exchanges.
- Coordinate with festival organizers to forecast ancillary demand and plan accordingly.
Online Fulfillment
- Identify an e-commerce platform and fulfillment team to be responsible for streamlining the order fulfillment process.
- Develop standardized packaging procedures to ensure consistent and professional presentation of merchandise.
- Collaborate with shipping carriers to negotiate favorable rates and optimize shipping methods for cost-effective and timely delivery.
- Implement quality control measures to ensure a all products are accurately picked, packed, and shipped.

- Maintain effective communication channels with online customers, providing order updates, tracking information, and addressing any inquiries or concerns.
- Stay up to date on e-commerce platforms, order management systems and fulfillment software to leverage automation and streamline processes.

Reporting and Analysis
- Prepare daily, weekly, and post-event reports on ancillary sales, revenue, and inventory.
